Job Title: PCA Assistant & Receptionist

Job Summary
A growing healthcare agency providing Personal Care Assistance (PCA) services is seeking a dependable and organized PCA Assistant & Receptionist to support daily office operations. This role combines front-desk reception, caregiver scheduling, Medicaid documentation tracking, and administrative support.
The ideal candidate has experience in home health, Medicaid-funded services, or healthcare administration and thrives in a fast-paced office environment while maintaining strong attention to detail and compliance standards.
Key Responsibilities

Answer and route incoming phone calls in a professional manner

Greet clients, caregivers, and visitors and provide front-desk support

Maintain a clean, organized, and professional reception area

Schedule PCA caregivers according to approved Plans of Care (POC)

Manage caregiver call-outs and coordinate coverage adjustments

Maintain accurate caregiver and client scheduling records

Communicate schedule updates to caregivers and families

Track and follow up on missing or expired caregiver documentation

Maintain records in compliance with HIPAA guidelines

Assist with client intake packets and referral processing

Prepare reports for outstanding documentation and compliance tracking

Notify management of authorization gaps or compliance concerns

Support internal audits and quality assurance reviews
Qualifications

High school diploma or equivalent required

Experience in home health, PCA, APD, or Medicaid services preferred

Knowledge of Florida Medicaid requirements strongly preferred

Strong organizational and multitasking abilities

Excellent verbal and written communication skills

Proficiency with office systems, scheduling software, and general computer applications

Ability to handle confidential information in a HIPAA-compliant manner
Language Requirement
